Associate Job Descriptions and Responsibilities

2.1  Webmaster – Unit 390 Associate Position

The Webmaster shall:

  • Maintain the Unit Website
    • Ensure that the website domain name registration is kept current and webhosting services are renewed as needed
    • Update information on the website as needed

  • Club News and Results
    • On an ongoing (daily) basis, update the “Club News and Results” page with event information provided by the Bridge Clubs
    • Remove event information after each event is completed
    • Update the Club Index, “Where to Play” maps and information, and “Weekly Schedule” database (required when a new club is formed, an existing club closes, or a club adds, changes or deletes one of its games).

  • Home Page
    • Create and post JPG or GIF “icons” advertising major Unit or Community events (eg. Sectionals, Regionals, special Unit events or games).
    • Store event information (provided by the Event Coordinator or created by the webmaster) on the web database and link it to the event “icon”.
    • Update the “Upcoming Club Events” section of the home page with event information provided by the Bridge Clubs and, if applicable, link the club icon to that club’s section on the “Club News and Results” page.

  • Master Points
    • Once a month (normally late on the 6th, as soon as the ACBL has posted master point updates) download the master point records for all players within Unit 390.
    • Sort the players by descending master point totals and create a PDF of the sorted list for storage on the website’s database.
    • Modify all web links to the master point list (and their description) to address the new list.
    • Once a year (as soon as the ACBL has created master point race lists for the new year) change all code pointing to the master point races to point to the new year’s information.

  • Other Website Pages and General
    • Modify and maintain the 150+ pages of the website as needed (several have regular updates, others change only infrequently).
    • Add news items to the website for Unit events, obituaries, and other items of interest to the Unit membership.
    • Add a news item to inform members of changes or additions to the website (eg. new features, articles, event photos, archives, etc.).
    • On a regular basis check all of the external links to make sure that they still work (and correct or delete them if they don’t).
    • Ensure all HTML code is properly backed up and regularly check integrity of all backups.
    • Ensure that material posted on the website complies with copyright requirements, as well as Unit and ACBL policies.

  • Administer Unit Email Accounts
    • Create email accounts for each of the Unit Board Members and Associates.
    • Advise on how to use the email accounts and set up “forwards”

  • Create and Maintain FTP accounts
    • Create and administer ftp accounts for persons allowed to upload material to the website.

2.2  Asset Manager – Unit 390 Associate Position

The Asset Manager shall:

  • Work under the direction of the Unit 390 Board.
  • Develop policies, maintain, control and monitor assets in accordance with Unit 390 requirements.
  • Develop and oversee the implementation of a Unit 390 Asset Management System.
  • Develop asset needs, assessments, acquisition management, operational and disposal plans.
  • Develop, implement and manage mechanisms to safeguard assets.
  • Develop and oversee all lease agreements.
  • Report on asset management at the Annual General Meeting.
  • Prepare a yearly list of assets for archiving purposes.

2.3  New Member Liaison – Unit 390 Associate Position

The New Member Liaison shall:

  • Work under the direction of the Membership Director.
  • Mail newcomer packages at the beginning of each month.
  • Newcomer package includes:
    • Welcome and Information pamphlet
    • Unit Free Plays
    • Bridgejoy Free Play
    • Partners Free Play
    • Telephone Directory
    • Convention Card Holder
  • Contact new members who have not used their free plays.

2.4  Notices – Unit 390 Associate Position

The Notice individual shall:

  • Work under the direction of the Unit 390 Board.
  • Liaise with the Membership Coordinator to maintain (add, delete and update) member email addresses.
  • Determine and distribute membership-worthy emails within Unit 390. Emails may include but are not limited to:
    • messages from the Unit 390 Board
    • club notices
    • sectional reminders
    • special event notices
    • obituaries

  • Adhere to Unit 390 and ACBL Privacy Policies.
  • Provide statistics of notice dissemination as required.

2.5  Mentorship – Unit 390 Associate Position

The Mentorship Committee shall:

  • Work under the direction of the Unit 390 Board.
  • Determine a Strategic Plan for a Mentorship Program.
  • Set parameters for Mentors and Mentees.
  • Solicit and match Mentors and Mentees.

2.6  Unit Newsletter: Editor of Kibitzer – Unit 390 Associate Position

Note: With the exception of content explicitly requested by the Board, the Editor has the discretion to decide what material will be included and in what format.

The Unit Newsletter Editor shall:

  • Work under the direction of the Unit 390 Board.
  • Decide on the content of the issue.
  • Decide on the overall format for the issue.
  • Assemble the content (typing, formatting, proofreading, etc.).
  • Distribute first draft for proofing.
  • Modify and correct the document as required.
  • Send the document to the Unit 390 webmaster for posting on the web site.
  • Request that a notice be sent to Unit 390 members regarding availability of the new issue.

2.7  Past President – Unit 390 Associate Position

The Immediate Past President shall:

  • Assist the President in the execution of his/her duties and perform such other duties as the President may direct.
  • Use his/her experience as a sounding board for the Board and members at large.
  • Lend a hand in the event someone cannot attend to their duties or functions.
  • Assist the Board in finding qualified Unit 390 members that would like to serve on the Board or be an Associate member.
